Appointment Policy and Rank Criteria

Clinical faculty appointments are governed by the Faculty of Medicine Policy on Clinical Faculty Appointments(“Policy”) (Approved May 2, 2025).

Specific criteria and expectations for each rank are listed in Appendix A of the Policy. Examples of academic activities in the Faculty of Medicine that fulfill these criteria are described in the Guide to Academic Activities for Clinical Faculty.

To be appointed as a Clinical Instructor (entry point), please submit:  

1. Application for Clinical Faculty Appointment (attached – skip parts 1-V if you submit a CV) 
2. SPPH Abbreviated Clinical Curriculum Vitae (preferred – template attached) or a Comprehensive Professional CV 
3. One Reference Letter (Site Director, Program Director, Department Head, Chief of Staff, UBC Clinical Faculty, etc.) 

To be appointed at a rank of Clinical Assistant Professor or higher, please submit: 

1. Cover letter requesting the appointment including the rationale  
2. Application for Clinical Faculty Appointment (attached – skip Parts 1-V which are covered in CV)  
3. SPPH Abbreviated Clinical Curriculum Vitae (preferred – template attached) or a standard UBC Faculty of Medicine Curriculum Vitae  
4. Reference letters with at least one from a UBC (or other teaching university) faculty member at a higher rank (where possible)  
5. Additional supporting documents as appropriate 

• Your file must be reviewed by the Clinical Appointments, Reappointments, and Promotions (CARP) Committee at one of their biannual meetings in February and June. You will be appointed as a Clinical Instructor in the interim.

SPPH Deadlines

SPPH Appointment Effective Date:	July 1	January 1
Submission to SPPH Executive Assistant:	January 15	May 15
Faculty of Medicine deadlines for Promotions:
Submission to Faculty HR	March 1	September 1

President’s office reviews files twice a year.

Activity reports are due:

• January 15 (for July 1 appointment effective date)
• May 15 (for January 1 appointment effective date)
• SPPH Annual Activity Report Template

Clinical, Appointments, Reappointments, Promotion (CARP) Committee

The Clinical Appointment, Reappointment, and Promotion committee reviews and makes recommendations to the Director, SPPH on the appointment, reappointment, and promotion of clinical faculty based on the Faculty of Medicine Policy on Clinical Faculty Appointments.
